What Is Whistleblowing?
Whistleblowing refers to the act of reporting concerns related to wrongdoing within the organisation. This includes, but is not limited to:

Fraud, bribery, or corruption

Criminal activity

Breach of legal or regulatory obligations

Misuse of company resources

Unethical, discriminatory, or abusive behaviour

Reports may be submitted by employees, contractors, suppliers, volunteers, and any parties working with or on behalf of Synergic Hallmark.

To maintain integrity and fairness, all reports will be reviewed by the authorised internal management team.
If you wish to remain anonymous, please avoid sharing personal identifiers.
What Information Should You Provide?
To support the investigation, please provide as much detail as possible:

Description of the concern and how you became aware of it

Names, departments, or parties involved (if known)

Date, time, and location of the incident

Any supporting evidence or documents (if available)

Whether the issue has been reported previously
Providing details will help us handle your report efficiently and fairly.
How We Handle Reports
Reports received will follow the process below:

Acknowledgement of Receipt within 3–5 working days (where contact information is available)

Initial Assessment of the concern

Investigation by authorised personnel
-
Corrective Actions & Recommendations (if applicable)

Feedback to the Whistleblower when appropriate
Anonymous cases will still be investigated where sufficient information is provided.
False or Malicious Reports
No action will be taken against individuals who report concerns in good faith, even if the allegation is not substantiated.
However, deliberate false or malicious accusations may result in disciplinary action.
Review of Policy
This Whistleblowing Policy and reporting channel will be reviewed annually to ensure effectiveness, relevance, and compliance with applicable regulations.
